Auto Tagging

Auto Tagging allows you to automatically add Tags to Constituent profiles using one or more data Lists. The process can be either set to automatically apply the Tags overnight or can be run on-demand as needed.

Create an Auto Tag

The first thing you need to do is to create the Lists that will identify the constituents you want to Auto Tag. For example, if you want to Auto Tagpeople with a tag called "Donor low value" you need to create a Transaction List that filters transactions under £50 (or whatever your low-value limit is).

This is how to set it up  Auto Tagging:

  • You need a Tag that you want to add to the Constituents. 

This can be added from Settings > Configuration > Tag & Tag Categories
Choose the Tag Category your Tag is in, then either add a Tag or select an existing Tag

  • From the tag form click on the 'Auto Tagging' tab

    You should then:
    • Set whether the tag should be removed from all Constituents who do not match the Auto Tag Rules (see section below) before the Tag applied to any new Constituents - setting this to Yes.
      This will remove the Tag from those Constituents who do not match the criteria regardless of how the Tag was origianlly added to the Constituent's profile.

    • Indicate whether the Tag should be re-applied overnight

Set Auto Tag Rules 

    • Open the Set Auto Tag Rules tab
    • Then press the Choose Lists button to select a list that will be used to apply the Tag

    • specify whether the constituents 'must be on the list' or 'must not on the list' to have the Tag added
      • 'Must be on this List' is an OR clause and not an AND clause, so will add a Tag for each constituent within either List. 
      • 'Must not be on this List' is an AND clause. - i.e. AND must not be on this List.

    • Choose the List from the drop-down selection box called Select List and then click on add list.

      (Please note that your list will require an ID such as Number or Entity Number within the List data fields so that the process knows what it is looking for)

      Once added the Lists section will show a summary, for example:

    • Repeat the above steps if you want to use multiple Lists for the Tag
    • Once you have completed your selections, Save the Changes. This saves your List and preferences.
    • You can then opt to close and exit or apply the Tag right away

When the Auto-Tag runs overnight, it will report within the header section of the Auto-Tag:

  • When it was last applied
  • How many Constituents had the Tag added 
  • How mny Constituents now have that Tag

For example:

 

Note 

  • If you press 'Save & Apply this tag now' a task will be queued to apply the Tag - we will send you an email when the Tag has been applied
  • If you press 'Save Changes' the Tag will be applied overnight if you have set that option to Yes
  • There is no undo action after the Auto-Tag has been applied
  • The status message on the Auto Tagging page shows when Auto Tagging was last applied
  • You should not base one Auto Tag on another. This is because you cannot guarantee that they are applied in the correct order.
  • Tags applied or removed by the Auto Tagging process are not recorded in the ChangeLog on a Constituent's Timeline

  • I can't find any reference to auto tagging in Donorfy and this article isn't helping.

    "From the tag form click on the 'Auto Tagging' tab" - Where is this tag form? Where is there an auto tagging tab? Some images might be helpful?!

  • Settings > Configuration > Tags & Tags Categories

    Open the Tag that you would like your auto tag set against (or create a new one). Where you see the additional fields section, there is a tab to the right called Auto Tags.

    It is within the Auto Tags tab where you can assign the list that that will be used to drive the Auto Tag.

    I've added some images to the article to illustrate.
