You can send documents by email to your constituents from Donorfy using your own email server. To set this up you need a valid email address & password to use with your email server.
It is best practice to use a specific email address to use with Donorfy, rather than use your email address, e.g. email@mycharity.org.uk, and then share the mailbox, associated with the Donorfy email address, with relevant people in your organisation. This is because email clients appear to now not allow the 'from' email address to be overridden and a send error will occur.
If you are using Exchange, Gmail or Office 365 to send your emails then Donorfy already knows the technical details, otherwise, you will need to ask the person who looks after your email for the hostname and port number used.
Unfortunately traditional 'on premises' email systems or shared environments tend to be 'locked down' so it can be hard to configure them to allow other systems like Donorfy to send emails through them (some require fixed IP addresses). Donorfy runs on Azure's Platform-as-a-Service in their Northern European data centre. They publish their public IP ranges in an XML download from their site. We don't have any control over which services use which external IP addresses.
If you have problems getting an 'on premises' email system working an alternative approach is to set up an email account with a cloud-based email provider - like Office 365 - and send your Donorfy emails via that service, you may then be able to configure the email service to forward the emails on to your email server.

Comments
I just wondered if you could elaborate on this point -
it is best to set up a specific email address to use with Donorfy (rather than use your email address) and then share the mailbox associated with the Donorfy email address with relevant people in your organisation.
Is this a security issue or something to do with the way Donorfy functions? From an operations perspective, we would want to use our individual addresses.
We normally suggest people set up a shared (or Donorfy specific) email address for use with Donorfy - this means you can share the mailbox so people can see what has been sent and if someone leaves your organisation and their email account is deleted you don't lose the sent items
Thanks for that. But in theory is it possible to set up multiple email accounts through donorfy? We are trying to make it easy to send personal major donor communications through donorfy, to avoid having to upload them manually after they are sent.
